General Nature & Scope of Work

Under the general supervision of the HR and Operations Manager and the HR and Operations Assistant Manager, the Office Facilitator provides coordination and administrative support to the Corporate department. Supports timely inter and intra department work flow regarding information, documents, and data. Maintains appropriate confidentiality and discretion in the disclosure of information to various internal and external parties. Composes correspondence and acts as front desk support.

Illustrative Examples of Work/Essential Functions

•   Composes correspondence and coordinates work flow;
•   Opens, sorts and distributes mail to one designated person in each department
•   Answers phones, routes all incoming calls to specific departments
•   Coordinates and facilitates office staff parties, birthday events, staff fun events
•   Works with HR and Operations Assistant Manager on First Monday agenda
•   Checks mainline voicemails and returns calls;
•   Inventory and ordering of all office, facilities and building supplies
•   Receives and distributes mail and deliveries;
•   Greets visitors to the office;
•   Provides information on LINC and its apartment buildings to prospective residents;
•   Keeps common areas organized.
•   Coordinates, assists in planning events, e.g. staff meetings;
•   Provides relief of administrative detail for projects
•   Other duties as assigned

Knowledge, Skills & Abilities

Knowledge of:
•   Writing and grammar skills, mathematics
•   Methods of managing paper process flow, coordination and control of documents
Skill Level:
•   Superior writing and communication skills
•   Proficient in the use of personal computers and related software applications
•   Highly organized and able to manage paper process flow
•   Excellent interpersonal skills for establishing and maintaining effective working relationships with employees, other departments and the public. Able to work with multiple priorities and deadlines
Ability to:
•   Efficiently organize, track and maintain documents, data files and information
•   Set priorities in fast-paced environment
•   Work effectively with others in a team environment

Education & Experience

A combination of education and related experience may substitute for education requirements.

•   High School diploma and
•   A minimum of 2 years of experience working in an office environment
